Administrative Assistant
Overview:
The SFJAZZ Production Administrator provides crucial support to SFJAZZ Production Department with all administrative needs. The Production Administrator coordinates with other departments principally Artistic, Box Office, Development and Marketing to assemble and disseminate needed information for shows and events.
It is essential that the Production Administrator has excellent organizational and time-management skills and is able to meet crucial deadlines.
Reports to:
Director of Production
Specific duties:
- Invoice processing and coding for Production department
- Credit card statement processing and coding for Production department
- Create Google Docs templates for all SFJAZZ Artistic and Education events including; production schedules and production sheets
- Create Production Staff Packets for all performances and shows
- Record minutes at Production meetings and distribute
- Manage petty cash for department
- Archive and maintain organization of all paperwork relating to Artistic shows and departmental expenses
- Assist Production Department with Artifax calendar and schedules
- Assist Artist Assistants, Caterers and Event Technicians as needed
Expert proficiency in the following:
▪ Apple and PC platforms
▪ Google Docs
▪ Microsoft Excel
▪ Microsoft Word
Experience:
Two to three years minimum experience in the entertainment field; artist relations, performing arts, theatre or related fields
