SUMMARY
The Donor Services Assistant, Gift Entry reports to the Director of Development and provides assistance to the full Development Department in making sure the Donor Services operation runs smoothly and meets growth goals outlined in organizational planning. While based in the SFJAZZ fundraising department, this position is also an excellent introduction to nonprofit finance and customer services principles.
ABOUT SFJAZZ
SFJAZZ is one of the world’s most popular presenters of jazz. The SFJAZZ Center is a beautiful stage for jazz artists and the community to celebrate the living American art form of jazz. The $64 million Center launched in 2013 and the 37-year-old non-profit organization now crafts distinguished programming and education services from the heart of the San Francisco arts district. In March 2020, SFJAZZ launched its initial digital offering Fridays at Five and is poised to expand the SFJAZZ membership experience with a suite of new digital programs in late 2020.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Enter data for all individual and institutional donations and other donor transactions.
- Prepare acknowledgment letters for donations, pledges, LOIs; Provide supporting information to management for personalized donation-related correspondence.
- Route all gifts and pledges received to department staff for proper coding, providing additional gift transmittal documents and background information if necessary.
- Serve as Finance Department liaison to ensure proper entry and reconciliation of gifts.
- Track and follow-up on all employer matching gift requests.
- Research new donation channels or tools to expand SFJAZZ’s giving opportunities, including online giving. Work with the Development team to properly implement new campaigns, appeals and opportunities.
- Proactively update constituent/donor information to match business conventions.
- Provide front-line customer service, including intake of donor/member inquiries, processing customer service issues generated via web or store, and customer servicer for SFJAZZ Digital events.
- Collaborate with SFJAZZ UX Committee in improving member experience on SFJAZZ Digital and SFJAZZ.org.
- Identify and/or coordinate resources (volunteers, inventory, etc.) for execution for department administrative projects.
- Perform other duties as assigned.

STATUS AND SCOPE
- Superior organizational and interpersonal skills; attention to detail and ability to work on a variety of projects simultaneously.
- Ability to prioritize varied and time-sensitive projects; ability to work both independently and in a team environment.
- Knowledge of MS Office; strong Word and Excel skills needed.
- Hands-on experience with a database; Tessitura knowledge a plus.
- Excellent verbal and written communication skills; Strong customer service skills with the ability to communicate effectively with diverse array of constituents.
- Ability to appropriately handle confidential and sensitive documents.
- Professional demeanor; tact and diplomacy are imperative.
- Position requires very occasional evening hours.
MINIMUM QUALIFICATIONS
Bachelor’s Degree with one year of direct experience within a nonprofit development department OR two years of progressive job related experience as an Administrative Assistant or Executive Assistant.
Working Conditions:
The work schedule includes customary office hours plus potential for overtime hours during critical periods. We offer a competitive salary based on qualifications, excellent benefits, and a dynamic, casual San Francisco office. Evening work is required. Due to COVID-19 and related safety precautions, this role is currently remote. Once it is safe to do so, this role will return to working on-site at the SFJAZZ Center for normal business hours.
Salary: Hourly, and based upon professional and academic experience.
