Ensemble Coordinator

The SFJAZZ Ensemble Coordinator is responsible for all aspects of the SFJAZZ High School All-Stars ensembles (the Big Band and the Combo), oversees the Rising Stars private lessons program and all recruitment and training initiatives, and schedules all ensemble activities, both within the SFJAZZ Center and in the community. In addition, the All-Stars program encompasses a pool of alternates, mentorship students, and 300+ Alumni who interact within the program as clinicians and mentors. The Ensemble Coordinator maintains relationships with this extended All-Stars family, and oversees the education department’s recruitment and training efforts in San Francisco, Oakland, and the broader Bay Area through the coordination of school-year classroom visits and free summer workshops for middle and high school students. This position also oversees the annual production of the All-Stars’ album, schedules clinics and masterclasses for the All-Stars and our community partners with visiting artists, and handles the booking of onsite and offsite performances. Must be able to multitask, be thoroughly organized, detailed, and deadline driven. Demonstrated strong project management skills. Excellent written and verbal communication skills required; knowledge of jazz pedagogy and music instruction a must; ability to work flexible hours, including occasional evenings and weekends as well as festival trips. Knowledge of music industry standard practices (event booking, recording and licensing, etc) and familiarity with SF Bay Area jazz education ecosystem a plus. Excellent people skills a must!

ESSENTIAL DUTIES AND RESPONSIBILITIES

SFJAZZ High School All-Stars Program:

• Schedule and manage audition process, results, and communications
• Maintain regular communication with program participants and parents (including alternate and mentorship students)
• Track participant paperwork and maintain database
• Maintain rehearsal and performance calendar including booking all events (concerts, student exchanges, auxiliary performances, festivals, recording sessions, offsite events)
• Organize and advance onsite and offsite events with Production department
• Book guest clinicians and performers to work with the ensembles
• Oversee ongoing engagement with All-Stars Alumni, including paired mentorship between Alumni and students
• Coordinate, produce, license, and distribute annual High School All-Stars double album 
• Oversee Rising Stars private lessons program (pairing of teaching artists with students, scheduling, invoicing, managing progress reports)
• Coordinate submissions for national awards (i.e, DownBeat Magazine Student Music Awards)
• Design and execute annual festival trip, including applications, flights, hotels, ground transportation, legal paperwork (can include international visas), payment, and chaperoning
• Track and report data and statistics for grants purposes
• Maintain All-Stars repertoire library, including sourcing and purchasing 
• Liaise with the Bay Area jazz education community to design and advance opportunities for diverse participation in the program 

Outreach & Recruitment:

• Maintain and grow relationships with Bay Area jazz education community
• Support ongoing commitment to providing equitable access to SFJAZZ youth ensemble training and mentorship
• Coordinate ongoing in-school visits by Alumni Ambassadors and Directors throughout the school year (September-May)
• Schedule four (4) Free Summer Workshops per summer season (July-August)
• Contract and schedule faculty/guest artists and clinicians 
• Facilitate curriculum creation and necessary materials for all workshops and visits
• Coordinate venue and equipment rental for off site workshops 

Administrative / Other:

• Maintain detailed expense records and program budgets
• Oversee student progress reports and track Rising Stars student development and recruitment
• Work with the Education team in all department planning and strategizing, including cross-program inclusion and equity initiatives
• Work with the Artistic team in securing season artists for clinics and masterclasses
• Work with the Development team on fundraising efforts as they involve ensemble members (Gala, member benefits e.g. All-Stars album distribution, etc), community engagement, and outreach efforts
• Work with the Marketing department on promotion of programming, outreach efforts, and album release via marketing pieces, social media campaigns, SFJAZZ blog, and website
• Book photographers and videographers as needed for program documentation/promotion/content creation
• Additional duties and responsibilities as required

QUALIFICATIONS

• A minimum of 2 years of administrative experience in a non-profit or educational institution 
• Bachelor’s degree (or equivalent) with an emphasis in music, social sciences, arts education or performance, communication, arts administration, etc
• Strong background in arts administration, especially as it relates to jazz
• Knowledge of jazz music, pedagogy, instructional methodology and training
• Commitment to advocacy, diversity, equity and inclusion as a praxis
• Ability to work collaboratively in a team environment as well as work independently
• Excellent organizational and project management skills and high level of attention to detail
• Excellent oral and written communication skills
• Experience communicating and working with teens and parents/guardians (middle and high school)
• Proficiency in Microsoft Word, Excel, DropBox and Google Suite (sheets, docs, forms)
• Experience with music notation and recording software a plus (Finale, Sibelius, Logic Pro)
• Availability to work evenings and weekends 
• Ability to arrange own transportation to offsite venues
• Experience with Tessitura a plus
• Ability to read music a plus
• Multilingual skills a plus
