Overview:
The SFJAZZ Production Coordinator supports the Production Department with all administrative needs. This position also coordinates with all departments at SFJAZZ, including Artistic, Box Office, Development, Education, and Marketing to assemble and disseminate information for shows and events. 

This individual also supports the pre-production aspects of a performance or event and creates production paperwork templates, prints production paperwork and, as needed, arranges florals and assists with hospitality set-up. 

The Production Coordinator should have a basic understanding of the live performance or artist relations field and possess strong organizational skills. 

Specific Duties:

• Invoice and credit card statement processing and coding for Production department
• Create templates for staff schedules, production sheets and other related docs for performances and events at SFJAZZ 
• Print and compile production packets for technical crew for show each week 
• Distribute monthly and weekly shift confirmation emails for Production staff, as needed
• Print schedules, dressing room signs and other necessary documents for distribution throughout the SFJAZZ Center 
• Provide support for Production Managers and/or Stage Managers by ordering catering for specific performances as well as meals for stage crew, as needed
• Record minutes at Production meetings and distribute
• Attend weekly Operation meetings to share pertinent Production updates and record notes 
• Distribute shift confirmations for on-call staff and send weekly call time emails
• Maintain and distribute a restaurant & nightlife guide for Hayes Valley, to be referenced by staff and performing artists 
• Collaborate with the Director of Production to generate return on investment (ROI) documents to facilitate equipment upgrades and purchases, as needed
• Manage petty cash for department
• Archive and organize all paperwork relating to Artistic shows and departmental expenses  
• Facilitate department birthday celebrations
• Support Artist Assistants by with artist wing set-up and supplemental hospitality needs 
• Fulfill the Artist Assistant role, as needed
• Other duties as assigned

Proficiency in the following software: 

• Apple Keynote
• Calendaring and space-booking software  
• Google Workspace: Docs, Drive, Sheets, etc
• Mac & Windows OS
• Microsoft Office Suite: Excel, Powerpoint, Word

Additional Qualifications:

• Previous experience in the related fields artist relations, performing arts or concert production
